How a shipment moves

One record from posting to proof of delivery.

Every shipment follows the same path, and every step is stamped with who did what and when. That gives you a full audit trail without anyone filling in a spreadsheet.

  1. Build the shipment

Add one or more pickups and drop-offs, the equipment (dry van, reefer or flatbed), pallets with dimensions and weight, and your estimated price. Bulk upload many at once.

    Shipper
  2. Connect your carriers

Invite the carriers you already use, or find new ones by name, DOT, MC, tax ID or D&B number. Each one accepts your contract and payment terms when they connect.

    Shipper · Carrier
  3. Bid and agree a rate

Carriers send offers. You accept one or send a counter, and the carrier can accept or counter back until both sides agree.

    Shipper · Carrier
  4. Dispatch a driver

The carrier assigns one of its drivers. The driver gets a push notification and accepts the shipment in the app, or declines with a reason.

  5. Track the truck

GPS tracking starts two hours before pickup. Crossing a geofence at a pickup or drop-off updates the shipment and alerts everyone.

    Automatic
  6. Verify, acknowledge, pay

The driver verifies pickup and delivery with photos, documents and the receiver's signature. You acknowledge the delivery and payment is scheduled.

Built for each side of the shipment

Shippers, carriers and drivers each get the tools for their part of the job.

Shippers

Web portal

Move freight with carriers you already know, and find new ones when you need capacity.

  • Build multi-stop shipments, or bulk upload them
  • Save your distribution centers and the lanes you ship most
  • Find carriers by DOT, MC, tax ID or D&B number, or invite your own
  • Use FreightFlow's standard carrier contract or upload your own
  • Compare carrier offers and send counteroffers
  • See late and at-risk pickups and deliveries, and shipments with no carrier, on one dashboard

Carriers

Web portal

Win freight directly from shippers and run your drivers from the same screen.

  • Find open shipments and filter by trailer type
  • Bid privately. Other carriers' names and amounts stay hidden, and only the lowest active bid is shown
  • Find shippers by name, tax ID or D&B number and send a request, or invite the shippers you already haul for
  • Invite, onboard or bulk upload drivers, and review each application before approving it
  • See each driver's CDL number and expiry, hazmat endorsement and duty status
  • Follow every shipment from awarded to assigned, in transit, delivered and completed

Drivers

iPhone & Android

Everything for the current shipment on one screen, with nothing to call in.

  • Accept or decline new shipments from a push notification
  • See ETA, remaining miles and the route on a map
  • Verify pickup with trailer numbers, photos and the manifest
  • Verify delivery with the receiver's name, photos and signature
  • Report a breakdown, accident, weather or border delay
  • Keeps tracking with no signal and syncs when back in coverage

Real‑time tracking

Know the truck arrived before anyone has to call.

Each pickup and delivery point has an invisible half‑mile geofence. When the driver's phone crosses one, FreightFlow updates the shipment and tells the people who need to know.

  1. T − 2:00Tracking beginsThe app starts reporting location two hours before scheduled pickup, every 15 minutes while far from a stop.
  2. Arrive at pickupPickup geofence enteredUpdates switch to every minute inside about two miles of the stop.

On‑time status at a glance

On track

Running to schedule.

At risk

Likely to be late unless the pace picks up.

Late

Will miss the window. Shipper and carrier can plan around it.

Automatic checks, around the clock

20+ min
behind schedule flags a potential delay
30+ min
marks the shipment delayed and emails the shipper
2 hr
before pickup, the driver gets a reminder
No reply
from the driver escalates to the carrier and shipper
Missed
pickup window marks the shipment expired so it can be re‑tendered

Bidding & counteroffers

Pay a fair rate to the carrier you want.

The cheapest bid is not always the best one. FreightFlow lets you counter the carrier you prefer instead of settling.

  • Open a shipment to your network, or to every carrier on FreightFlow
  • Post with a target price or let carriers name theirs
  • Shippers see every bid. Carriers see only the lowest active bid, never who placed it
  • Counter back and forth until both sides agree
  • Get notified the moment a new bid arrives or one is accepted

Compliance, contracts & payment

Carrier and driver paperwork is checked when they join and watched after that. Every connection runs under a signed contract, and every payment waits for a signed delivery.

DOT · MC

Authority on every profile

FMCSA CSA

Safety scores, refreshed monthly

Carrier safety scores show on every carrier profile and update automatically each month.

Insurance

Expiry reminders

Certificates, coverage amounts and expiry dates are stored per policy, with alerts starting 30 days out.

CDL

Drivers reviewed before they run

Carriers review each driver application, then see the CDL number, issuing state, expiry date and hazmat endorsement for every active driver.

Contract

Signed when carriers connect

Use FreightFlow's standard contract with your own notice period, governing state and venue, or upload yours. Every carrier accepts it to connect.

Payment

Paid on signed delivery

Payment is scheduled after the driver verifies a receiver-signed delivery and you acknowledge it, on the terms you agreed with each carrier.

Your next shipment can be tracked from the first mile.

Shippers and carriers sign up on the web. Drivers are invited by their carrier and join through the mobile app.
